  • Recognition of Prior Learning

    (RPL)
  • Recognition predominantly comes in two forms: RCC and RPL.

    The Recognition of Current Competence (RCC) process recognises what you have already learnt from other courses/studies (including courses at school or college, through adult education classes or training programs at work). This type of recognition is known as a Credit Transfer.

    A Credit transfer is where direct credit may be awarded for previously completed formal training/assessment. Certified copies of all documentation supporting the claim must be provided within 14 days from enrolment. (E.g. original result notices, certificates, and record of training and contents of the course). Please note; CT’s may in some cases reduce course fees, however; submissions requesting Credit Transfers must be received within 14 days from enrolment for reductions to be considered. The RTO will be able to provide you with a quote prior to enrolment should you be unsure. Should you choose to complete duplicate training with another provider throughout your course, no fee reductions are available, however credit for that unit will be considered.

    The Recognition of Prior Learning (RPL) process recognises what you have already learnt from your life and work experiences.

    Both processes are referred to as ‘Recognition’ and allow you to apply for credit for the knowledge and skills you have, by measuring these acquired competencies against the course you intend to complete.

  • Unique Student Identifier (USI)

  • From 01/01/2015 KARBEN Training Solutions as your RTO can be prevented from issuing you with a nationally recognised VET qualification or statement of attainment when you complete your course if you do not have a valid Unique Student Identifier (USI). If you have not yet obtained a USI you can apply for it directly at https://www.usi.gov.au/students/get-a-usi on a computer or mobile device.

    You may already have a USI. You may have had one created for you by a training organisation you have enrolled with in the past, or you may have one that you created a while ago and have simply forgotten about.

    You only ever need one USI. Just like a Tax File Number, it is unique to you, and is yours for life.

    Not sure if you have a USI?

    You may already have a USI if you undertook any nationally recognised training since 01/01/2015, which could include training at work, completed a first aid course or RSA (Responsible Service of Alcohol) course, have a white card, or studied at a TAFE or training organisation.

    It is important that you try to find your USI before you attempt to create a new one. This will make sure that the training records generated are correct. You should not have more than one USI.

  • NSW Fee Concession / Exemption Eligibility

  • To be considered for an exemption / concession from the new entrant traineeship or Smart & Skilled full qualification enrolment fee you must meet one of the eligibility criteria listed below. You must be receiving the relevant entitlement at the time of enrolment and all required evidence must be submitted to KARBEN Training Solutions at the time of enrolment or you forfeit your right to a fee exemption. No other grounds will be recognised.

    Concession fees

    Concession fees are discounted fees for disadvantaged students. Concessions are a flat fee for the qualification level. A student who receives a specified Commonwealth benefit or allowance is eligible for a concession fee for a qualification up to and including Certificate IV (no concessions available for Diploma level qualifications). A student who is receiving a special benefit or allowance at the time of enrolment is eligible for a concession. 

    The concession fee is also available to a student who is a dependant of a person receiving a specified Commonwealth Government welfare benefit or allowance. To be eligible for the concession the person who the student is dependant of must be receiving the benefit or allowance at the time of enrolment. 

    Fee exemptions

    Students who qualify for a fee exemption are: (Proof of eligibility is required)

    • Australian Aboriginal and Torres Strait Islander people
    • People with a disability(ies)
    • Refugees and asylum seekers
    • Dependant of a person with a disability(ies)

    Fee-Free Scholarships

    To be eligible for a Fee-Free Scholarship, you must meet the Smart and Skilled eligibility criteria and

    • be aged between 15 and 30 years when you start training; and

    • be either the recipient of a specific Australian Government welfare benefit or allowance or the dependant of such a recipient (please refer to the fact sheet Smart and Skilled Fee-Free Scholarships – For concession-eligible students below for further details as to eligibility);

      OR

    • be aged 15-17 years and currently in out-of-home care or aged 18-30 years and previously have been in out-of-home care (please refer to the fact sheet Smart and Skilled Fee-Free Scholarships - For young people in out-of-home care below for further details as to eligibility)

  • Service Agreement

    I/We hereby authorise Global Payments Australia 1 Pty Ltd ACN 601 396 543 (Direct Debit User ID number 342190, 342191, 428198) (referred to as "Ezidebit") to make periodic debits on behalf of the Business (referred to as "the Business") as indicated on the attached Direct Debit Request which incorporates this DDR Service Agreement.

    I/We acknowledge that Ezidebit is acting as a Direct Debit Agent for the Business and that Ezidebit does not provide any goods or services (other than the direct debit collection services) to me/us for the Business pursuant to the Direct Debit Request and has no express or implied liability in relation to the goods and services provided or to be provided by the Business or the terms and conditions of any agreement that I/We have with the Business.

    I/We acknowledge that the debit amount will be debited from my/our nominated card or bank account according to the terms and conditions of my/our agreement with the Business and the terms and conditions of the Direct Debit Request (and specifically the Debit Arrangement including the Fees/Charges in the Direct Debit Request).

    I/We acknowledge that the details of my/our nominated card or bank account should be verified (eg: against a recent card or bank statement) to ensure accuracy of the details provided and I/we will contact my/our financial institution if uncertain of the accuracy of these details.

    I/We acknowledge that is my/our responsibility to ensure that there are sufficient available/cleared funds in the nominated account by the due date to enable the direct debit to be honoured on the due date for the debit. Direct debits normally occur overnight, however transactions can take up to 3 banking business days depending on the financial institution. Accordingly, I/we acknowledge and agree that sufficient funds will remain in the nominated account until the debit amount has been debited from the account. If there are insufficient funds available, I/we agree that Ezidebit will not be responsible for any fees and charges that may be charged by either my/our or its financial institution.

    I/We acknowledge that there may be a delay in processing the debit if:
    1. a payment request is received by Ezidebit after Ezidebit's usual cut off time, being 3:00pm Qld time, Monday to Friday;
    2. a payment request is received by Ezidebit on a day that is not a banking business day in Sydney, NSW and Melbourne, VIC; or
    3. there is a public or bank holiday on the day when the debit transaction is due to be processed or on any of the following days until the debit is processed.
    Any payment that falls due on any of the above will be processed on the next business day.

    I/We authorise Ezidebit to vary the amount of the payments from time to time upon receiving instructions from the Business of a variation provided for within my/our agreement with the Business or as may be agreed by me/us and the Business. I/We do not require Ezidebit to notify me/us of the variation to the debit amount.

    I/We acknowledge that Ezidebit is to provide at least 14 days' notice if it proposes to vary any of the terms and conditions of the Direct Debit Request (including this DDR Service Agreement) including varying the Debit Arrangement.

    I/We will contact the Business if I/we wish to alter or defer the Debit Arrangement.
    I/We acknowledge that any request by me/us to stop or cancel the Debit Arrangement will be directed to the Business.

    I/We acknowledge that any dispute regarding a debit will be directed to the Business and/or Ezidebit. If no resolution is forthcoming, I/we will contact my/our financial institution.

    I/We acknowledge that if a debit is returned by my/our financial institution as unpaid, a failed payment fee (as referred to in the Debit Arrangement) may be payable by me/us to Ezidebit. I/We will also be responsible for any fees and charges applied by my/our financial institution for each unsuccessful debit attempt together with any collection fees, including but not limited to any solicitor fees and/or collection agent fee as may be incurred by Ezidebit.

    I/We authorise Ezidebit to attempt to re-process any unsuccessful payments as advised by the Business.

    I/We acknowledge that certain fees and charges (including setup, variation, SMS or processing fees) may apply to the Direct Debit Request and may be payable to Ezidebit and agree to pay those fees and charges to Ezidebit.

    "Ezidebit" may appear as the merchant for a payment from my/our credit card (including a debit or charge card). I/We acknowledge and agree that Ezidebit will not be liable for any disputed transactions resulting from the supply or non supply of goods and/or services and that all disputes will be directed to the Business (as Ezidebit is acting only as a Direct Debit Agent for the Business). The Transaction Fee for a debit to a Credit Card calculated as a percentage may be subject to a minimum amount.

    I/We appoint Ezidebit as my/our agent for the control, management and protection of my/our personal information (relating to the Business and this Direct Debit Request) which is disclosed to Ezidebit. I/We irrevocably authorise Ezidebit to take all necessary action (which Ezidebit deems necessary) to protect and/or correct, if required, my/our personal information, including (but not limited to) correcting account numbers and providing such information to relevant third parties and otherwise disclosing or allowing access to my/our personal information to third parties in accordance with the Ezidebit Privacy Policy.

    Other than as provided in this Direct Debit Request or the Ezidebit Privacy Policy, Ezidebit will keep your personal information about your nominated account private and confidential unless this information is required to investigate a claim made relating to an alleged incorrect or wrongful debit, to be referred to a debt collection agency for the purposes of debt collection or as otherwise required or permitted by law. The Ezidebit Privacy Policy can be found at http://www.ezidebit.com/au/privacy-policy/

    I/We hereby irrevocably authorise, direct and instruct any third party who holds/stores my/our personal information (relating to the Business and this Direct Debit Request) to release and provide such information to Ezidebit.

    I/We authorise:
    1. Ezidebit to verify with my/our financial institution and/or correct, if necessary, details of my/our account; and
    2. My/our financial institution to release information allowing Ezidebit to verify my/our account details.

  • Payment plan options including terms & conditions*

    • Any student and / or employer who indicate they require a payment plan to pay applicable enrolment fees off over a period of time, will be required to agree to the terms and conditions of the KARBEN Training Solutions’ Direct Debit Payment Plan. Under this arrangement, the student and / or employers nominated bank account or credit card will be debited.
    • No other periodic payment options are available to the student and / or employer when a payment plan is requested by either party.
    • Depending on the qualification / course chosen, once a completed enrolment form has been received and processed by KARBEN Training Solutions, an invoice will be generated and issued for the applicable course / qualification amount.

    Once enrolled, the following applies;

    1. A minimum payment of $300 must be made towards the qualification / course.
    2. Once KARBEN Training Solutions receives this initial payment, KARBEN Training Solutions will email to the party responsible for the payment of fees, a Direct Debit Request form which must be completed within 48 hours. The Direct Debits will apply for the remaining fee payable to KARBEN Training Solutions.
    3. Once KARBEN Training Solutions have received and approved the Direct Debit Request form, the student will be issued with the relevant qualification / course materials.

    Please note, that any delays in making the required initial payment and / or completing the Direct Debit Request form may delay the commencement of qualifications / courses and as a result will affect the amount of time the student has to complete their qualification / course.

This form only authorises the RTO to provide or receive information from your nominated person about the records relating directly to the qualification or training program of which you are enrolled.

  • In signing this enrolment form, I am declaring that I understand and agree to the following terms and conditions of my enrolment:

  • 1. Enrolment requirements & Student Information

    1.1 It is my responsibility to read the Student & Employer Handbook provided to me or visit www.kts.edu.au to review the on-line version of the Student & Employer Handbook so that I am aware of my rights and responsibilities before undertaking the course / qualification I am enrolling in. This handbook is regularly reviewed and updated and reference to this should be made throughout my training.
    1.2 I understand the outline of the course / qualification I am enrolling in and agree that the content meets my learning and/or job role requirements.
    1.3 I believe that I have the necessary language, literacy and numeracy skills required for undertaking this training; this includes being able to read, record, interpret, research, measure and calculate. I agree to notify the RTO of any special requirements I have in relation to participation in the course in which I am enrolling for prior to my course commencing. Throughout my course, should circumstances present themselves that make it difficult for me to successfully complete my course, I will contact KARBEN Training Solutions as soon as practical to discuss what assistance may be required. Should individual tutoring be required; additional fees may apply.
    1.4 Participation in physical activity, field trips, practical demonstrations and simulated workplace scenarios forms an integral part of many of our courses. It is your responsibility to inform the RTO of any medical condition or disability that may require additional assistance or consideration. Each learner is required to provide details of an emergency contact. 

  • 2. Recognition of Prior Learning (RPL) or Current Competencies (RCC)

    2.1 How to apply for RCC/RPL. All recognition applications are individually assessed. Submissions must be received in their entirety within the agreed timeframe in accordance with the RPL / RCC policy outlined in the Student & Employer Handbook (only authenticated copies of transcripts will be mutually recognised by the RTO).

     

  • 3. Identification

    3.1 Your enrolment form will only be processed once our office receives all relevant copies of identification including photo ID, visas /passports (if applicable) and where credit or recognition has been applied for, original copies of certificates and / or statements of attainment must have been sighted and provided to the RTO (only authenticated copies of transcripts will be mutually recognised by the RTO).
    3.2 Unique Student Identifier (USI): A USI must be provided to the RTO at time of enrolment - should you not have a USI, you will be required to apply for one in accordance with the USI Application Form requirements.

  • 4. Privacy 

    4.1 In accordance with the Australian Privacy Principles (APP 6) introduces a limited number of new exceptions to the general requirement that an organisation only uses or discloses personal information for the purpose for which the information was collected.
    These exceptions include where the use or disclosure is reasonably necessary:
    * To assist in locating a missing person;
    * To establish, exercise or defend a legal or equitable claim; or
    * For the purposes of a confidential alternative dispute resolution.
    4.2 In accordance with Australian Privacy Principles (APP 11) the RTO will take reasonable steps to protect the personal information it holds from interference, in addition to misuse and loss, and unauthorised access, modification and disclosure.
    APP 11 requires an organisation to take reasonable steps to destroy or de-identify personal information if the organisation no longer needs it for any authorised purpose. Under APP 11 there are two exceptions to this requirement:
    * The personal information is contained in a Commonwealth record; or
    * The organisation is required by or under an Australian law or a court/tribunal order to retain the information.
    4.3 Access to personal information: In accordance with Australian Privacy Principles (APP 12) the RTO will provide individual access to the personal information that it holds about you unless an exception applies.
    The RTO will respond to requests for access within a reasonable period and give access in the manner requested if it is reasonable to do so and in accordance with its access & records management policy. If we are unable to provide the requested access, we will provide written reasons for the refusal and the mechanisms available to complain about the refusal. Access may incur reasonable fees and charges - see Student and Employer Handbook"
    4.4 The RTO does not rent, share or sell personal information you provide to us except as outlined in 4.1 and as per the Australian Privacy Principles (APP 7) - Direct Marketing

    4.6 Any pictures taken, work samples submitted, contact information provided or testimonials completed by participants throughout their qualification may be used by KARBEN Training Solutions for future marketing and advertising purposes. I authorise the use of these for such purposes.

  • 5. Fees and Charges

    5.1 Information about the RTO's Fee Protection Policy can be found in the Student and Employer Handbook under the Fee Administration Policy.
    5.2 I understand and agree that by signing this document that the nominated party (as indicated on this form) will be liable for all Course Fees including those associated with participating in Government Funded Programs. I am aware of the RTO's Fee Administration Policy including associated costs, refunds, levying of fees and the RTO's fee protection policy.
    5.3 If I do not complete my course / qualification by the scheduled completion date and/or Training Plan due dates, additional fees may be charged including a monthly fee or an additional enrolment fee. Full Training Plans (FTP) are provided when a full and / or partial qualification is undertaken - refer to your Student and Employer Handbook for a full explanation of full training plans and their use.
    5.4 No certificates, records of achievement, statements of attainment or attendance will be issued until all fees are paid in full by the participant and/or employer as nominated on this form.
    5.5 Should I misspell my name or provide incorrect details, additional certificate re-print fees will be charged.
    5.6 It is my responsibility to read and complete my assessments prior to assessment visits or due dates.
    5.7 I must look after my course resources and bring them to each assessment session.
    5.8 I am responsible for any replacement costs of my resources should they be misplaced or damaged.
    5.9 I must notify KARBEN Training Solutions a minimum of 3 hours in advance should I not be able to attend a scheduled session / visit. Where sufficient notice is given, workplace visits will be re-scheduled whenever possible. Non-attendance at a visit, failure to submit assessments, repeated cancellations or inadequate notice will result in a reduction of the pre-scheduled workplace visits planned for each calendar year and/or an RTO Notification Form submitted to the Department.
    5.10 (Classroom sessions only) I am required to attend a minimum of 80% of the scheduled classroom sessions or non-attendance will be recorded.
    5.11 (Classroom sessions only) Non-attendance due to ill-health requires a Doctor's Certificate.
    5.12 Non-attendance from a session will result in a zero (0) refund and fees will still apply.
    5.13 It is my responsibility to read and complete any online learning components of my course / qualification (when applicable) prior to attending my course.
    5.14 I agree to contact KARBEN Training Solutions immediately if I am unable to meet the agreed payment arrangements should I experience unexpected hardship.

  • 6. Code of Conduct

    6.1 I must behave in an ethical, professional and responsible manner throughout the duration of my course / qualification and practical work placement (if applicable) or I may be removed from the course / qualification without refund.
    6.2 For courses that require a practical work experience component, I agree to complete these hours as outlined within my training schedule. I understand that I must act in a professional, reliable, and well-presented manner and in accordance with workplace policies and procedures or I may be removed from the worksite. Should removal from a practical work placement block result in unsuccessful completion of the unit’s requirements, you will not be awarded competency for the unit(s) for which the practicum component relates. No refund will apply in such circumstances.
    6.3 To ensure optimum learning experience is experienced by all participants, KARBEN Training Solutions reserves the right to cancel any scheduled theory or classroom sessions if insufficient attendees are available for the session. Participants will be provided with as much notice as possible at which time an alternative session may be scheduled.

  • 7. Working with Children's Checks and Police Checks 

    7.1 If my course includes coming in contact with children under the age of 18 years of age, I will be required to complete a `Working with Children's Check' prior to the course commencement. Alternatively, if I am participating in Aged Care, Disability or similar training, I will also be required to complete the relevant Police Certificate, NDIS Worker Screening checks. These checks are to be completed at my expense and are not included in my course fees. No work placement can be undertaken until these checks have been completed and evidence of such has been provided to the RTO. Clearance confirmations will be provided to the nominated workplace for the purpose of undertaking work placement.
    7.2 Should such clearance checks not be approved or cleared through the relevant departments, KTS reserves the right to cancel or suspend the enrolment until such time that the clearance is provided to the RTO.

  • 8. First Aid Certifcates

    8.1 For courses that require a valid First Aid Certificate, I must complete this training prior to the completion of my course or provide a certified copy of such training with a minimum of 12 months validity remaining or my qualification / course certificate will not be awarded until evidence of such is provided. Unit codes and names must reflect the unit code and name required as listed in the qualification or you may be required to complete further training / assessment.

  • 9. Safety and Welfare

    9.1 KARBEN Training Solutions is committed to providing a safe and enjoyable environment for all staff, visitors and clients, therefore the RTO reserves the right to decline an enrolment, suspend participation of a student, cancel a class or terminate an enrolment should you breech any of the RTO's policies and / or processes.
    9.2 Should you at any time have concerns about the conditions, practice or behaviours of others whilst undertaking your training, you should notify your trainer / assessor immediately.
    9.3 Should I require medical assistance whilst undertaking training, I agree to a KTS staff member contacting appropriate emergency services on my behalf should they believe such attention is required.

  • 10. Authority to Proceed 

    10.1 I understand that course fees are non-refundable except as outlined in the Student & Employer Handbook under the heading: 'Fee Administration Policy' and that late fees will apply for late settlements.
    10.2 I declare that the information contained within this form has been completed by myself and to the best of my knowledge and belief the information contained on this form is true and correct.

    Why we collect your personal information
    As a registered training organisation (RTO), we collect your personal information so we can process and manage your enrolment in a vocational education and training (VET) course with us. Without collecting this personal information from you, we are unable to fulfil our obligations under the Data Provision Requirements 2012 and other Commonwealth and State regulatory requirements and, as such, are unable to progress your enrolment.


    How we use your personal information
    We use your personal information to enable us to deliver VET courses to you, and otherwise, as needed, to comply with our obligations as an RTO.


    How we disclose your personal information
    We are required by law (under the National Vocational Education and Training Regulator Act 2011 (Cth) (NVETR Act)) to disclose the personal information we collect about you to the National VET Data Collection kept by the National Centre for Vocational Education Research Ltd (NCVER). The NCVER is responsible for collecting, managing, analysing and communicating research and statistics about the Australian VET sector.
    We are also authorised by law (under the NVETR Act) to disclose your personal information to the relevant state or territory training authority.


    How the NCVER and other bodies handle your personal information
    The NCVER will collect, hold, use and disclose your personal information in accordance with the law, including the Privacy Act 1988 (Cth) (Privacy Act) and the NVETR Act. Your personal information may be used and disclosed by NCVER for purposes that include populating authenticated VET transcripts; administration of VET; facilitation of statistics and research relating to education, including surveys and data linkage; and understanding the VET market.
    The NCVER is authorised to disclose information to the Australian Government Department of Education, Skills and Employment (DESE), Commonwealth authorities, State and Territory authorities (other than registered training organisations) that deal with matters relating to VET and VET regulators for the purposes of those bodies, including to enable:

    • administration of VET, including program administration, regulation, monitoring and evaluation
    • facilitation of statistics and research relating to education, including surveys and data linkage
    • understanding how the VET market operates, for policy, workforce planning and consumer information.

    The NCVER may also disclose personal information to persons engaged by NCVER to conduct research on NCVER’s behalf.
    The NCVER does not intend to disclose your personal information to any overseas recipients.
