Terms & Conditions
General:
- Applications for stall space should be made on the Matamata Twilight Fair Stallholder Application Form and submited, emailed to matamatatwilightfair@gmail.com or to Matamata Twilight Fair, PO Box 17 Waharoa 3401
- Quality, handmade, NZ made and local products are given preference.
- We will not accept second hand stalls (unless of course they are items that have been up cycled)
- BYO Tables & chairs for your stall. NO TABLES, CHAIRS, or GAZEBOS WILL BE PROVIDED BY THE FAIR
- The organisers reserve the right to allocate sites and alter the site plan.
- The exhibitor shall not permit any other exhibitor to share or use any part of their site, unless approved by the organiser.
- Stalls should be attractive and tidy and must not extend outside of the allocated space or walkway.
- If you set up in the site not allocated to you, you will have to move or leave the Fair.
- If you are not on site by 12:15pm and have not communicated with Laura Manning your stall will be given to a back-up stallholder.
Payment:
- Payment to be made by within 14 days of receiving the approval notification.
- Funds can be deposited into the ANZ Bank account once you have received confirmation.
- Please don’t forget to use your business name as reference as this will save a lot of confusion.
Receipts:
- One receipt will be issued per stall and will be emailed to the email address provided on the application form. Or posted if email is not an option for stallholder. Refunds & Cancellation:
- The Matamata Twilight Fair will operate rain or shine. If the stallholder cancels before the 1st of October a full refund will be returned to the stallholder. Cancellations after that date will mean only half of the fees will be returned to the stallholder.
Vehicles & Parking:
- Vehicles can enter the Fair from 11am and must be removed once unloaded or by 12:30pm. Stallholders can then park in the carpark provided.
- Vehicles will be allowed back in for pack down at 6:15pm.
Check-in:
- Please bring your “Site Allocation & Information” document to the entry point at Headon Stadium Carpark off Western Street. You may be refused entry without this document.
Pack down:
- Please do not start packing up before 6pm when the Fair closes. Stalls should be cleared from site by 7pm. Please remove ALL of your rubbish, with no exceptions. Failure to do so will mean no return invite next year.
Insurance:
- All insurance is the stallholders responsibility. The organisers and property owners cannot be held liable for any mishap.
Food Vendors:
- It is your responsibility to adhere to the local government licensing requirements.
- A “food stall” is a stall that sells food that is consumed on site. Food that is fully packaged and for consumption off site is a “nonfood stall”. Stalls that are deceptive in the application process and attempt to sell food for on site consumption in a non-food stall will be closed down immediately and will not be able to return to the Fair. No exceptions!
