Group size
In affiliating a graduate group, GSA must confirm accurately the the number of members it has, in particular those who are graduate students, in order to make a determination of group size. The basic requirements of affiliation are: 6 graduate student members and 75% of members being graduate students at the University of Melbourne.
To be affiliated, the Graduate Group must confirm its group size by declaring that it can access a membership list of a certain number of individual members (Method A), or provide GSA with further information that is true and accurate based on event and social media activity (Method B).
To determine funding and affiliation, the Graduate Group gives GSA a right to audit any membership lists, events or social media activity. However, due to privacy regulations, GSA will only view or ask for a sample and not store or share any of the personal information of a graduate group's members.
Determining Size of Group (Method A)
A Graduate Group that declares the size of its group based on a mail list or email list of individual names must keep a copy of this list to provide to GSA only when requested or audited. GSA will not store, copy or share this list.
Determining Size of Group (Method B)
To determine the size of the Group for the appropriate level of GSA funding, the following formula will be applied:
Step 1 take random samples of thirty names from the last three Group events
remove all repetitions of the same name to arrive at a list of discrete names
remove all names clearly not part of University of Melbourne
Step 2 formula for value A
A equals no. of discrete names of students divided by ninety
Step 3 formula for value B
B equals total sum of all attendees at all Group events for 2015 multiplied by ‘A’
Step 4 formula for value C
C equals total number of Group Facebook Page likes multiplied by 0.33
Step 5 ‘Size’ of Graduate Group equals ‘B’ plus ‘C’
Discretion of GSA
In applying for funding, the Graduate Group must follow the Graduate Group procedures and requirements. The GSA Exective reserves the right to reasonably vary annual funding allocations.
Further information and funding forms is found on the GSA website. This information is for guidance only. A final determination of the group size and funding is up to the discretion of the GSA Executive.
