• QA Event Sanctioning

This form should be filled out by the event's tournament director or the club's official QA delegate, as appropriate. This form must be filled out at least 28 days prior to the event.
  • Quidditch Australia, its directors, and its official events are covered by Public Liability & Products Insurance. All members of Quidditch Australia are also covered by Personal Injury & Accident Policy when participating in official QA events.

Events run by QA members can request to be covered by QA's Public Liabilty and Personal Accident Insurances by applying for the event to be sanctioned. Events for which you can apply for sanctioning include but are not limited to: fantasy tournaments, state league games and tournaments, fundraising and social events, and member club training and practices.

QA's Public Liabilty Insurance, which indemnifies the host against any damage done to third parties as a result of the event, covers all sanctioned events. A copy of our PLI Certificate of Currency will be provided, if requested, as proof of coverage.

QA's Personal Accident Insurance, which covers medical expenses and loss of income resulting from injury or disability incurred from the event, only covers sanctioned events in which all participants are registered QA members (playing, non-playing, or trial) and where adequeate first aid is present.

If you are applying for the sanctioning of a sporting event involving physical activity (that is to say, one that carries the risk of injury and for which you are requesting PA&I coverage), OTHER THAN a club training or practise, you must submit a confirmed attendance list and details of adeaquate first aid attendance confirmation at least 7 days prior to the event via this form.

If you have any further questions, or if you need sanctioning for an event at short notice, cannot meet any of our requirements, or have any other special needs or requests, please contact QA directly at events@quidditch.org.au.

  • The requirement to submit a list of confirmed participants in advance of the event is WAIVED for club trainings and practises on the assumption that:

    • Only club members will attend the event
    • All attendees are registered QA members, the confirmation of which will be the responsibilty of the event organiser.

Additionally, you do not need to seek out professional first aid to attend the event, but we do require the attendance or participation of at least one individual who has completed basic first aid training.

It is vital that this individual does not act outside the scope of their knowledge, training, or qualifications, and that all serious injuries sustained during training (ie any likley to result in a claim upon our insurance) are properaly assessed by a qualified medial practitioner.

  • Since your event will involve sporting and physical activity, your event will only be covered by our Personal Accident and Injury Insurance if every participant is a registered QA member and adequate first aid is present at the event.

If you wish the event to be covered by PA&I, you must submit a list of all participants and confirmation of first aid attendance to QA via this form at least 7 days prior to the event.

  • Recurring events will be approved for all iterations within the calendar year.
The event organiser has a responsibilty to inform QA of any changes to the event. QA reserves the right to revoke sanctioning due to any significant changes.

Recurring events must take place at the same location.
If the location of a recurring event will change but all locations are known, fill out the location of the first iteration and email full location details to events@quidditch.org.au.
If all locations are not known or confirmed, approval will be conditional upon receipt of location details at least 7 days prior to each iteration.

Recurring events requesting PA&I coverage, except for club trainings and practices, must resubmit a list of participants before each iteration. First Aid confirmation must only be re-submitted if diferent from the previous iteration.
